Operation and Administrative Assistant

Job Title: Operation and Administrative assistant.

Contract status Part-time (25hour/week)
Contracting Conditions:
The successful applicant will be offered a fixed-term contract, extendable based on funding and performance.
Salary and conditions will be offered according to the LDHR salary scale.
Working hours: 5h/ day, 25hs/ week
ABOUT LDHR:
Lawyers and doctors for human rights is a non-governmental organization that supports civilians during crises and dedicates the time and resources to provide help to stop human rights violations and aid the people in need to be effective community members.

POSITION SUMMARY:

The operation and admin assistant position will be direct support to the operation management, He / She will be supporting the Human Resources Administrative and Finance departments in the day-to-day tasks, tracking liaisons procedures, supporting fleet management and assets control, and other operational tasks that might be set by the Turkish government; including translation, attending meetings, ensuring the transparency and integrity and ensure execution of transparent and efficient administrative services.

RESPONSIBILITIES AND TASKS
Support the sound management/CEO of all management functions.
Prepare agendas and make arrangements for committee, board, and other meetings.
In close liaison with the Human Resources department, supervise and train other team members on facility management according to Turkish rules and regulations.
Support the smooth running of the activities through maintaining a constructive and inclusive relationship with concerned authorities, partners, and other agencies.
Assist with the day-to-day efficient operation of LDHR.
Maintain employee files and the filing systems in a professional, confidential, and auditable manner and according to HR procedures (both in the hard and soft filing).
Make sure that the new employee’s files are completed (including contract, TOR, interview notes, conducting background checks, etc.).
Supporting in the translation of supporting documents (Finance, HR, Admin).
Submission of mission reports to various governmental entities
Substitute relevant colleagues (fully or partially) during their absence when assigned by the employee’s Line Manager.
Prepare responses to correspondence containing routine inquiries
Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.
Facilitate translation activities to staff members in formal meetings from Turkish to Arabic and vice versa.
Support the HR Manager with the translation of HR-related documents.
Undertake additional HR-related project work as required
Read and analyze incoming memos, submissions, and reports in order to determine their significance and plan their distribution.

REQUIRED QUALIFICATIONS, EXPERIENCE, AND ATTRIBUTES:
This position demands a dynamic individual with a demonstrated ability to achieve results in a demanding and fast-paced environment.

Education: at least a bachelor’s degree in a related field e.g., political science, social sciences, public administration, international relations etc.
Work Experience: Minimum of two years’ experience, preferably in an INGO/ NGO, in a similar role/with similar responsibilities.
Skills/knowledge: High proficiency in Knowledge of MS Excel and experience with international development programming, excellent writing and research skills.
Language Skills: Fluency in Turkish (written & spoken) and English are ESSENTIAL; Arabic is a plus.
Strong communication skills, both verbal and written, in English and Turkish.
Strong diplomatic skills, sense of political and other sensitivities. Excellent understanding of socio-political developments in Turkey.
Demonstrated experience and skills to coordinate complex activities, meet deadlines, and exercise sound judgment.
A problem-solving and solution-oriented attitude; be methodical and adaptable
Planning skills and attention to detail
Ability to work under minimal supervision and deliver on set objectives within given deadlines, adaptable and willing to perform other duties and occasionally work irregular hours if needed.
Demonstrated ability to work effectively as part of a team or independently.
